Prices and MOT dates live in someone's head
Nobody can see at a glance which cars are ageing, which need photos, or which have no asking price yet.
Stock, leads, bookkeeping, MOT history, workshop jobs, staff rota and clock-in, all in one system. Add Pilot Brain, an AI adviser that works from your own figures and says how sure it is.
A short screen recording of the real app on a demo dealership, with Pilot Brain answering a live question, and the staff phone app. No visit needed, and you can download it to watch later.
Recorded on a demo dealership on 21 September 2026, so some screens have changed since. The cars, MOT histories and photos are sample data. Pilot Brain's answer is a real reply from the app, not scripted.
Most independent dealers hold the business together with whatever came to hand. It works, until a car goes out with an MOT nobody noticed, or the accountant asks what a car really made.
Nobody can see at a glance which cars are ageing, which need photos, or which have no asking price yet.
Purchase, prep, parts and sale sit in different places, so the margin on a sold car only appears months later at year end.
Who's in today, who's on holiday and who worked what hours turns into a Friday-afternoon argument.
A test-drive request from last Tuesday is still sitting unanswered in someone's inbox.
These are the modules dealers get today. Nothing on this page is planned or promised for later, except where it says so.
Every car with its cost, asking price, margin, photos, prep and recon spend. Dashboard cards flag MOTs expiring soon, missing photos, no asking price and stock over 90 days old.
Import from CSV. Download your vehicles, purchases, costs and sales as CSV from Settings.Look up any registration and see its real MOT history, newest test first, with advisories and failures from the official DVSA and DVLA services.
Shows the recorded tests. With no MOT data on record, no score is shown.Purchases, costs and sales against each car, with a ledger per vehicle, supplier totals, and profit and margin on sold cars. Invoices print correctly for the VAT margin scheme or standard VAT.
Margin-scheme invoices carry the HMRC statement and no separate VAT line.Add leads, move them through a pipeline, and see where they stand by stage and source. A separate customer database records marketing consent per channel.
Viewings, test drives and MOT bookings arrive from your own public booking page, and shoppers can ask you to watch for a car, with their consent recorded.Rota planner with shifts, holiday and sick leave. Staff see their own rota and leave remaining. Clock-in and clock-out times are stamped by the server, not the phone. Only a manager or the owner can correct one, and the owner can see every correction in Change History.
Pay summary shows gross pay for clocked hours at an owner-set rate. It is not a payslip.A jobs board for the day-to-day: MOTs to book, cars to prep, calls to make. A workshop calendar for repair and recon bookings, and stock levels for supplies, with the order email to your supplier written for you in one click.
Each person also gets a private diary for their own reminders.Lead, stock, lead-conversion and staff analytics, with staff counted by branch. Every figure is counted from cars, prices and leads you entered.
Most screens say "no data yet" rather than showing a zero.Finance calculator, deal sheet, lender comparison, profit breakdown, trade-in worksheet and a sale-agreement template, all from figures you type in.
Illustrative only. Not a finance quote, a credit offer or a valuation, and the screens say so. The agreement is a starting point, not legal advice.A public page for each car that you switch live yourself: real MOT history with a mileage chart, emissions status, what you have done to it, and a note from you. Print a QR card for the windscreen.
Every section is real or absent. Nothing is public until you publish the car, you choose which sections show, and a sold car closes its page.A public stock page and booking page for your dealership, no login needed. Download your stock as a CSV feed, or copy its link, for the portals you use.
The stock page lists every unsold car with its registration and a photo. Nothing is pushed to AutoTrader or other portals automatically, and their own onboarding still applies.Pilot Brain answers questions about your stock, leads and profit from your own records. It advises. You decide.
Ask what's happening and why. Get a morning briefing, today's priorities and a performance review, by text or by voice. She answers aloud in FlipPilot's own voice, Wendy, with other voices to choose from.
It can prepare a small set of changes, such as a car's asking price or a lead's status. Nothing happens until an owner or manager approves it, and an approved change can be undone unless someone has edited that field since.
Write down a big call, read Pilot's view and the case against it, decide, and check later how it went. Confidence is low, medium or high, with reasons, never a made-up percentage.
Test a stock investment or a price cut on aged stock. It's arithmetic on your recent history and the assumptions you set, and every figure is labelled known, inferred, predicted or unknown.
An owner can allow lookups on a fixed list of UK motor sites. Lookups and Wendy's voice draw on your £30 monthly usage credit. Every search is logged for the owner, sources are shown under the answer, and Pilot Brain is told to call listing prices asking prices. Up to 20 lookups a day.
ILLUSTRATION WITH SAMPLE DATA
Same accounts, same live data. Your diary is the same on your phone and in the office, and each person's diary is private.
The staff app is in early access on Android and is installed from a link we send you. Email support@flippilot.co.uk and we will send it.
Plenty of dealer software dresses a fixed number up as "AI insight". We took the made-up ones out. What's left is real data, honest maths and a system that tells you when it doesn't know.
MOT history comes from the DVSA. Vehicle details come from the DVLA. Billing runs through Stripe. Price guides use eBay listing data and web searches.
The few 0 to 100 gauges (Business health, MOT health, Buyer affordability) come from fixed rules, and the MOT outlook is labelled a rule of thumb, not a measured chance. Counts are counts, and most screens say "no data yet" instead of guessing.
Pilot Brain is told to say how sure it is and why. In the Decision Journal and Simulator, the confidence is set by code from your own records. It reads, prepares and asks, and never changes a record on its own.
Download your vehicles, purchases, costs and sales as CSV from Settings while your account is active. Supplier and invoice emails open ready-written in your own mail app.
VAT margin scheme invoices, DVSA MOT lookups, UK registrations, pounds and pence. Not a US product with the spelling changed.
Anything not finished is labelled "coming soon" inside the app, never shipped as a dead button.
One owner login runs the dealership. Everyone else joins by an invite link that carries their role.
Everything, including billing, pay rates, team invites, email settings and Pilot Brain controls.
Broad access: bookkeeping, staff and rota, stock and leads, and approving Pilot Brain's prepared changes.
Leads, customers and stock. Not bookkeeping or staff.
Bookkeeping and stock. Not staff management.
Everyday work: add and update cars, leads, customers and jobs. No costs or profit, no books, no staff management, no Pilot Brain approvals.
Sign up with your dealership name. We check that new dealerships are genuine motor traders, then your 14-day trial starts, with no card needed. A short product tour walks you round on first login.
Import your current stock from a CSV, or add cars one at a time. Look up MOT history by registration as you go.
Send each person an invite link with their role. They join your workspace, and staff can use the phone app (Android early access) for the rota, clock-in and photos.
Every new dealership starts with a 14-day free trial of Dealer OS, with no card needed. Then choose the plan that suits you. Your first six months are at a lower settling-in price, and the price then moves to the standard rate automatically. You can change plan or cancel yourself from the billing page.
then £149 a month
then £299 a month
All prices are per dealership, per month and exclude VAT. We are not currently VAT registered, so no VAT is added today. If that changes, VAT at the standard rate will be added and you can reclaim it as normal. The free trial covers Dealer OS and a taster of Pilot Brain: 5 questions and one written report (a briefing, a performance review or a day's-work prep). Wendy's voice and live web lookups cost real money to run, so during the trial you pay for them as you use them: top up from £10, no subscription needed. The full plan includes £30 of usage credit every month. Typed chat is included: it is only voice and lookups that use credit, so if you never use them you pay nothing beyond your plan. Usage beyond your monthly credit is charged at the rates shown in the app. You top up when you choose, so there are no surprise bills, and until you do, Wendy's voice and live lookups stop until your credit renews (replies are then read in your browser's basic voice if voice is on). The settling-in price applies once per business, to new subscribers, for their first six months only.
No. It runs in any modern browser. You can install it to your desktop or phone home screen so it opens in its own window, but that's optional.
Yes. Import your stock from a CSV file, or add vehicles one at a time. You can download your vehicles, purchases, costs and sales as CSV from Settings while your account is active.
Yes. Each car is sold under its own scheme, which you choose when you add the car. Invoices for margin-scheme cars carry the required HMRC statement and show no separate VAT line. Cars sold at standard VAT get a VAT invoice that shows the VAT and your VAT number. Check your treatment with your accountant, as with any system.
From the DVSA MOT history service and the DVLA vehicle enquiry service, the official government sources. The app shows the tests on record. Its MOT outlook (Good, Fair, Poor) is a rule of thumb from the advisories, failures and mileage on record, not a prediction.
Not automatically. It produces a CSV stock feed you can download or link to. Each portal has its own onboarding, and AutoTrader in particular needs a paid dealer account with them.
Pilot Brain is part of the full plan, FlipPilot Dealer OS + Pilot Brain, which includes £30 of usage credit every month for live web lookups and Wendy's voice. The 14-day free trial covers Dealer OS with a taster of Pilot Brain (5 questions and one written report: a briefing, a performance review or a day's-work prep); Wendy's voice and live web lookups are paid for as you use them during the trial. You can take the full plan when you subscribe or add Pilot Brain later, and drop it whenever you like.
Each dealership's data is kept separate. Roles limit who sees the books, what a car cost, profit, staff private details, pay and billing; everyone you invite can see stock, leads and customers. Pilot Brain can't see wages, private messages or your customer database, and it only ever sees what the person asking is allowed to see.
No. The finance suite gives illustrative figures from the numbers you type in. It is not a finance quote or a credit offer, and every screen says so.
Typing questions to Pilot Brain, briefings and the Decision Journal cost us very little to run, so they are included, with fair use. Wendy's voice and live web lookups use paid services that cost many times more each time, so they draw on your monthly credit at the rates shown in the app. If you never use them, you never pay anything beyond your plan. If you use up the credit, you can top up in the app whenever you like. Nothing is charged without your say-so, and until you top up, Wendy's voice and live lookups stop until your credit renews (replies are then read in your browser's basic voice if voice is on).
We are not currently VAT registered, so no VAT is added to our prices. Prices exclude VAT: if and when we register, VAT at the standard rate will be added, we will tell you in advance, and as a VAT-registered dealer you can reclaim it in the usual way.
You choose whether to subscribe. If you don't, access pauses and your data waits for you. There's no obligation and no long contract.
New dealerships are checked before access is switched on, so the platform stays limited to genuine motor traders. Staff you invite don't need a separate review.
